In Simple Words: Birth certificate applications in Maharashtra get rejected most often because of missing or unclear documents. The exact checklist depends on the situation — hospital birth, home birth, late registration, duplicate, or correction. Quick Document Checklist for All Cases

A general checklist to keep handy:

Important Notes

  1. Apply at the correct office. The Municipal Corporation / Gram Panchayat where the birth occurred — not where you live now.

  2. Original documents needed for verification. Even for online applications, you may be called to the ward office to verify originals.

  3. Keep all receipts. Late fee receipts, application acknowledgements, and payment confirmations are required for follow-up.

  4. Translate non-English / non-Marathi documents. If any document is in another language, attach a certified translation.

  5. Cross-check before submitting. A wrong upload triggers rejection that takes 15–30 days to clear. Verify each document before clicking submit.

Document requirements may be updated by the government. Always check the latest list on the MCGM / PMC / CRS / Aaple Sarkar portal before applying.

Common Questions

What if I don't have the hospital discharge slip — can I still register the birth?
Yes. If you have lost the discharge slip but the hospital notified the Municipal Corporation, the birth is already in the register. Search by name + DOB + parents' name on the portal. If hospital records are completely missing, you may need to apply for late registration with parent affidavit and other supporting documents.
Are parent's Aadhaar cards mandatory?
Yes — both father's and mother's Aadhaar cards are mandatory for new birth registrations. They are used for identity verification and to link the child's record to parents. If a parent's Aadhaar is unavailable (deceased / lost), submit a death certificate or affidavit explaining the situation.
Do I need parents' marriage certificate?
Not always mandatory, but recommended. Some Municipal Corporations ask for it to confirm parent details. If you don't have one, an affidavit declaring the marriage may be accepted. For single-parent registrations, additional documentation may be required.
Can scanned phone photos be used instead of proper scans?
It depends on quality. The portal usually accepts JPG or PDF. Phone photos are often rejected for being blurry, dark, cropped, or photographed at an angle. Use a free app like Adobe Scan or CamScanner — the output is clean and consistent.
What format should the uploaded documents be in?
PDF preferred (JPG also accepted). Each file should be under 500KB and clearly readable. Multi-page documents should be combined into one PDF. Avoid uploading partial documents — even one cropped corner can cause rejection.
